Gmail Templates

A Gmail Template (formerly Canned response) is essentially a generic email that you can send to a number of recipients. You can:

  • Create up to 50 Templates.
  • Use one automatically when setting up a filter to reply to a specific type of email.
    See Using filters in Gmail.
  • Use one, or more, directly from your Inbox when composing a message.

Examples:

  • You can send a canned response to job applicants, letting them know that you have received their applications.
  • If you use different signatures with different recipients, you can create a canned response to use with each signature.

First, enable Templates.

  1. Go to your Gmail Settings (gear icon).
  2. Click on the See all settings option from the menu.
  3. Select Advanced.
  4. Scroll down to Templates.
  5. Select the Enable radio button.
  6. At the bottom of the page, click Save Changes.

Next, create a Template.

  1. Compose a new email message.
  2. Leave the To field blank (filled automatically with the recipient’s email address).
  3. Leave the Subject field blank (filled automatically with a reply to the recipient’s subject).
  4. Enter wording for the canned response in the compose window.
  5. At the bottom right of the compose window, click on the “More Options” menu (three dots).
  6. Select Templates.
  7. Click Save Draft as Template.
  8. Select Save as New Template.
  9. Enter an appropriate name for the response; e.g., “Application-Received” to use for job applicants.
  10. Click Save.

Using Templates responses

  1. When replying to an email, click the “More Options” menu (three dots) from the bottom right of the compose window.
  2. Select Templates.
  3. Choose the desired canned response template to insert in your reply. More that one may be used. More than one may be used.
